Overview

The Pittsburgh Metropolitan Area Hispanic Chamber of Commerce (PMAHCC) is seeking proposals from qualified web development firms for the design, development, and branding of a new website, along with the creation of a new branding kit and logo. The website should deliver an enhanced user experience, seamless integration with existing tools and platforms, a robust members area, and include ADA/WHE compliance. The goal is to create an engaging online presence that supports our mission, facilitates member interaction, and provides a streamlined digital space for operations.

PMAHCC is dedicated to empowering Hispanic professionals and businesses in the Pittsburgh region through networking, scholarships, education, and support. Our website serves as a key touchpoint for members, community partners, and the public, offering access to a range of programs and resources. Scope of Services

We seek a new website and branding kit that will:

  • Enhance member engagement through a secure members area.

  • Integrate seamlessly with existing platforms (e.g., Wild Apricot, Google, Canva, Monday.com).

  • Provide a user-friendly interface optimized for both desktop and mobile users.

  • Include a new logo and branding guidelines to create a consistent visual identity across all digital platforms.

The new website should include the following features:

Core Functionalities

  • General Website Features:

    • User-Friendly Navigation: Clear menus and intuitive design for easy navigation.

    • Responsive Design: Fully optimized for desktop and mobile devices.

    • Secure Login and Data Protection: Ensuring the privacy and security of member information.

  • Integration:

    • Wild Apricot for membership management.

    • Google for analytics and document management.

    • Canva for easy design updates and brand consistency.

    • Monday.com for project management and team coordination.

  • Branding Development:

    • Create a new logo and visual identity that reflects PMAHCC’s mission and values.

    • Develop a branding kit with guidelines for logo use, fonts, color palette, and brand usage.

    • Design digital templates for:

      • Presentations (e.g., PowerPoint)

      • Reports

      • Letterheads

      • Email signatures

      • Social media posts

  • Secure Members Area:

    • Member-to-Member Deals: Platform for members to offer and access exclusive deals.

    • Member Directory: Easy-to-navigate directory with member contact details.

    • Member Interaction: Potential for member-to-member messaging and networking.

    • Live Technical Assistance Chatbots: Integration of existing 24/7 support chatbots for small business assistance.

  • Blog: For publishing news, articles, and updates related to PMAHCC activities and the Hispanic business community.

  • Email and Newsletter Integration: Tools for creating, distributing, and managing newsletters and email campaigns.

  • Social Media Integration: Seamless linking to PMAHCC's social media profiles with content-sharing capabilities.

  • Calendar: A dynamic calendar for events, workshops, networking opportunities, and programming sessions.

  • Video Pages: Hosting webinars, event recordings, and other video content.

  • Programming Pages: Detailed information on PMAHCC programs, including the Business Success Academy and the Nursing Scholarship Program.

  • Scholarship Applications: Online forms with automated data collection and notifications for various scholarship opportunities.

  • Job Posting Automation: Allowing members to post job openings with potential automation for streamlined submissions and updates.

  • Translation Plugin: Multilingual support through plugins (e.g., Weglot) to provide accurate translations for website content, improving accessibility for Spanish-speaking users.


Project Requirements

  • ADA/WHE Compliance: Ensuring the website meets all accessibility standards, including screen reader compatibility, keyboard navigation, and form accessibility.

  • Scalability: The website should be built on a CMS that allows PMAHCC staff to update content easily and accommodate future growth.

  • Training and Documentation: Provide training sessions for PMAHCC staff, including a detailed instruction manual and video tutorials for managing content updates.

  • Ongoing Support: Proposals should include a plan for ongoing support, maintenance, and updates, with a suggested monthly retainer for minor adjustments and technical support.


Proposal Submission Requirements

Interested vendors should include the following in their proposal:

  1. Company Overview: A brief description of your company, including relevant experience.

  2. Statement of Understanding: A statement indicating your understanding of the work to be performed.

  3. Project Approach: A detailed plan for website development and branding, including phases, timeline, and deliverables.

  4. Technical Specifications: Explanation of the proposed technical approach, including CMS platform, hosting recommendations, and integration strategy.

  5. Team Composition: Details of the team that will work on the project, including roles and experience.

  6. Portfolio: Examples of similar projects, especially those with a focus on membership or nonprofit organizations.

  7. Detailed Scope and Budget: A detailed breakdown of costs, including:

    • Branding and website design.

    • Development and integrations.

    • Training and documentation.

    • Ongoing support and maintenance.

    • Itemized costs for each work element.

  8. References: Contact information for at least two clients that PMAHCC may contact regarding relevant work.


Evaluation Criteria

Proposals will be evaluated based on the following criteria:

  • Relevant experience and quality of past work.

  • Understanding of the project scope and PMAHCC's needs.

  • Technical approach and proposed solutions.

  • Cost-effectiveness and value for investment.

  • Project timeline and ability to meet deadlines.
